The Receptionist plays a vital role in creating a welcoming and supportive environment for students, families, staff, and visitors. As the first point of contact for the school, this position ensures smooth day-to-day operations at the front office while also providing critical backup support to administrative, registrar, and health office functions. The Receptionist is responsible for maintaining a professional front desk, assisting with attendance and student check-ins, and supporting staff with various administrative tasks to ensure the school runs efficiently and effectively.
Essential Functions1. Front Office Operations
Serve as the first point of contact for visitors, callers, and staff, providing accurate information and a welcoming presence
Answer and direct phone calls, screen visitors, and handle general inquiries in alignment with school policies
Maintain an organized and professional front desk area with all necessary forms and materials readily available
Ensure all front office tasks are completed in a timely and efficient manner
2. Student and Family Support
Assist with student check-in and check-out processes using the Raptor system, ensuring compliance with school policies
Support families with questions and procedures related to school operations, attendance, and communication
Help with daily student attendance reporting and entry into the student information system (SIS)
Provide backup assistance with registration and enrollment tasks as needed
3. Administrative Support
Serve as a back-up secretary for both the Principal and Director of Operations secretaries
Assist with organizing and distributing communication, mail, and supplies for administrative needs
Coordinate with staff to support school events, communications, and logistics
Perform additional administrative tasks as assigned by supervisor
4. Health Office Assistance
Serve as a back-up health assistant, including administering medication and assisting students with basic health needs
Verify immunization records and document student health visits in the SIS
Maintain confidentiality and adhere to school health policies and safety protocols
Notify parents or guardians in accordance with school guidelines when a student has a health concern
5. Compliance & Safety
Follow school and district procedures related to student data, front office access, and visitor management
Ensure documentation and processes comply with state and local education requirements
Maintain confidentiality of sensitive student and staff information
Participate in required safety drills, compliance trainings, and related school-based procedures
Education
High School Diploma or GED
Experience
1+ years of clerical, receptionist, or customer service experience in a professional setting
Credentials
Must be able to pass a criminal background check including search of state and federal databases
Preferred Qualifications
Prior experience in a school front office or K-12 education environment
Experience with student information systems (e.g., PowerSchool, Infinite Campus)
CPR/First Aid certification or willingness to complete training
Bilingual communication skills (verbal/written), though not required
