Position Summary:

We are seeking a dedicated, detail-oriented, and compassionate Medical Receptionist to join our school's health services team. The Medical Receptionist will play a key role in managing student health records, coordinating communication between students, parents, staff, and healthcare providers, and assisting with the day-to-day operations of the school's health office. This role is essential to ensuring the efficient delivery of medical services, enhancing student well-being, and supporting a healthy school environment.

Key Responsibilities:

Student Health Records Management:

Maintain and update student health records, ensuring they are accurate, confidential, and comply with school, district, and state regulations.

Communication Coordination:

Serve as the primary point of contact for parents, students, and staff regarding student health issues, appointments, and medical concerns. Communicate with healthcare providers and school administration as needed.

Appointment Scheduling:

Schedule and manage medical appointments for students, including coordinating with external healthcare providers for follow-up visits and treatments.

Student Health Monitoring:

Track and report students with chronic health conditions, allergies, or medical needs to ensure proper accommodations and monitoring.

First Aid and Emergency Response:

Assist in administering basic first aid under the supervision of the nurse and support emergency response efforts when necessary.

Reception and Front Desk Duties:

Greet and assist students, parents, and visitors to the health office in a professional and compassionate manner. Answer phone calls, emails, and other inquiries related to health services.

Confidentiality and Compliance:

Ensure all medical information and student records are kept confidential in accordance with FERPA, HIPAA, and other applicable privacy regulations.

Inventory and Supplies Management:

Assist in managing medical supplies inventory, ensuring the health office is stocked with necessary items and materials.

General Administrative Support:

Perform general office duties including filing, organizing, and data entry. Assist the director with administrative tasks as needed.

Insurance Verification and Accounts Receivable

Verify insurance eligibility and benefits. Accurately collect, track and process copays and other payments. Support with billing related follow ups or coordinate with billing team as needed.

Qualifications:

High school diploma or equivalent required.

Bilingual (English/Spanish) preferred

Previous experience in a medical office, school health office, or administrative assistant role.

Basic knowledge of medical terminology and common health conditions.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

First Aid and CPR certification is a plus or willingness to obtain upon hire.

Ability to work independently and as part of a team in a fast-paced environment.

Physical Requirements:

Ability to lift up to 15 pounds, if necessary, for the position.

Ability to sit, stand, or walk for extended periods of time during the workday.

Ability to respond to emergencies and assist in evacuations when required.

Working Conditions:

Work Environment: School-based health clinic within a school campus, interacting daily with students, staff and parents.

Physical Requirements: Ability to stand, sit, and move around the clinic; ability to lift and carry medical supplies and equipment; ability to respond to emergencies quickly.

Hours: Standard school hours, with flexibility to accommodate school schedules, including some after-school events or emergencies, extended care hours and summer school hours.
