JOB SUMMARY:

Reporting to the Executive Director of Admissions, the Director of Admissions Operations provides leadership and oversight for the daily admissions processing, systems management, and operational functions of the Office of Undergraduate Admissions in collaboration with the CRM Administrator. This position performs advanced administrative and operational management functions to support the effective execution of enrollment strategies, optimize admissions workflows and technologies, ensure compliance with institutional and regulatory requirements, and advance the department's strategic goals and operational objectives.

DISTINGUISHING CHARACTERISTICS:

The Director of Operations Admissions will have functional knowledge of multiple application platforms (ApplyTexas, Common Application, etc.) and Customer Relationship Management (CRM) technology and will be familiar with guidelines and best practices for admission processing of first-time-in-college and transfer applicants. The Director of Admissions Operations will have a successful track record of establishing and meeting department targets and goals while supporting a campus-wide strategic enrollment plan. The Director of Admissions Operations will have a thorough understanding of admissions and enrollment technology to support an aggressive, comprehensive strategic enrollment plan.

Essential Duties Summary

Assists in the development, implementation, and continuous improvement of operating policies, procedures, and guidelines that support best practices in admissions processing and enrollment operations. Implements and maintains internal controls to ensure compliance with federal, state, and university policies, regulations, and reporting requirements.

Utilizes CRM and enrollment management systems to analyze, monitor, and report on admissions trends, applicant behaviors, enrollment patterns, and operational performance metrics.

Performs data entry, data imports, record maintenance, and data cleanup activities to ensure the accuracy, integrity, and consistency of information maintained within the CRM and related enrollment systems.

Assists with monitoring, identifying, troubleshooting, and resolving data integrity issues, duplicate records, workflow discrepancies, and system errors to support accurate and reliable CRM operations.

Maintains, enhances, and organizes CRM documentation, procedural manuals, training guides, and operational resources to support consistent system usage, process standardization, and cross-departmental knowledge sharing.

Assists in the development, coordination, and delivery of CRM training materials, onboarding resources, and user support sessions to promote effective system adoption and utilization among staff and campus partners.

Identifies innovative strategies, technologies, and process improvements to enhance the effectiveness, efficiency, and service delivery of admissions operations and staff performance.

Prepares, analyzes, and reports demographic, statistical, and operational admissions data for university leadership, external reporting, and institutional stakeholders.

Identifies staff development and training needs and coordinates participation in appropriate professional development workshops, seminars, and system training opportunities.

Coordinates admissions operations and related processes with the Office of the Registrar, Office of Veterans Affairs, and other student support and compliance units.

Provides operational and technical support to academic colleges, schools, and administrative departments regarding admissions data, CRM processes, and enrollment reporting needs.

Serves as a liaison between Admissions and various university departments and offices, including Information Technology, Financial Aid, the Bursar's Office, Institutional Effectiveness, academic advising units, and other campus stakeholders to support integrated enrollment operations.

Performs other job-related duties and special projects as assigned.

Hiring Range $74,879.81 - $95,471.75

Education

Master's degree or higher from a regionally accredited college or university.

Bachelor's or advanced degree in Computer Science, Information Systems, Educational Technology, or a closely related field preferred.

Required Licensing/Certification

Valid Texas Driver's License preferred.

Work Experience

At least three (3) to five (5) years of experience working in admissions, preferably at the level of senior admissions or enrollment officer.

Diversified experience in higher education, preferably in the areas of enrollment management and new student services.

PREFERRED QUALIFICATIONS:

Experience working with higher education enrollment management systems related to admissions and student information systems.

Experience with system configuration, workflow automation, business process logic, integrations, and data management within CRM and enrollment platforms.

Knowledge of coding, scripting, system logic, and technical troubleshooting related to CRM or enterprise systems.

Experience supporting admissions operations, recruitment communications, application processing, and enrollment technology initiatives within a college or university environment.
