Job Summary

Prepares excused lists. Prepares truancy reports, case worker data, school-to-court records, DCFS data, probation office data, police information. Completes correspondence, attendance letters, truancy reports, resource attendance. Sends messages from counselors to students. Tracks student attendance for teachers, counselors and parents. Assists with injuries and illnesses. Retrieves and returns voice mail messages. Helps with transportation problems. Helps with immunization tracking. Assists with registration.

Essential Functions

Primary Functions

Issues street passes. Processes excuse notes into student records. Calls absent students. Performs Check- in and Check-out. Calls parents to resolve absences. Monitors and trouble shoots call machine, Parent-Link, Night Caller, Phone Master.

Prepares excused lists. Prepares truancy reports, case workers, school-to-court, DCFS data, probation office, and police. Completes correspondence-attendance letters, truancy reports, and resource attendance. Sends messages from counselors to students. Tracks student attendance for teachers, counselors, administrators and parents.

Assists with problems such as injuries and illnesses. Verifies notes, parent voice mail, etc.

Trains and supervises student aides.

Prepares Hot Lists. Assists with health issues.

Assists with registration.

Answers phones. Retrieves and returns voice mail messages.

Secondary Functions

Prepares and updates web site information. Generates and issues withdrawal forms, signatures. Assists with homework requests. Writes detention slips and get signatures, then notifies all involved. Prepares Code of Conduct forms. Processes absence appeals. Mails mid-terms, sluff slips, etc. Monitors vocational attendance, prepares data for Counseling/Registrar secretary. Assists with transportation problems. Helps prepare accident reports. Assists with medication dispensing. Helps with immunization tracking and enters report on Internet. Helps with mail and filing.

Non-Essential Functions

Other duties as assigned.

Required Knowledge, Skills and Abilities

Must have working knowledge of federal, state and district policies and procedures regarding guardianship, immunization, truancy, state court referrals and other student attendance issues. Requires skill in word processing (55 wpm), computer operation plus relevant software, bookkeeping, basic math, work organization, operation of office machines, oral and written communication and interpersonal relations.

Minimum Entrance Requirements for Training and Education

High school diploma or equivalent. Must have successfully completed one year of

training in office procedures, word processing and computer operation, including the internet, bookkeeping, filing, oral and written communication and interpersonal relations. Must foster positive working relationships.

Required Job Related Work Experience

Eighteen months of job related work experience with demonstrated competence preferred.

Note: The Administration reserves the right to require specific training for this position. However, depending upon the type and quality of prior experience, some exchanges can be made between training and experience.

Decision Making Authority

Determines authenticity and verification of parent notes, excuses, telephone callers. Chooses best approach to defuse conflicts regarding truancy, and attendance reports. Makes decisions regarding custody and guardianship as it pertains to students taken out of school. Follows appropriate emergency procedures when a child is injured (who to call, how severe the injury is and contacts the proper authority). Selects student aides for the attendance office. Decides factors of enrollment such as proof of address, special permits, and immunizations. Makes recommendations to tracker and team on some students. Makes decisions regarding Night-Caller phone system.

Interaction with Others

Extensive interaction with counselors, parents, principal, teachers, district office personnel, court staff, resource workers, social workers.

Supervision

Supervises student aides over a period of a year.

Working Environment

Occasionally deals with some verbal abuse, emotional students, parents and staff. Deals with emergencies-accidents. Must meet many deadlines. Frequent interruptions during work that requires accuracy and concentration.

Physical Demand Characteristics

Lifting and/or moving not over 30 pounds.
