Position Overview:

The College Registrar serves as a key academic leader and steward of the institution's academic records, connecting students to faculty, curriculum, and the classroom. Reporting directly to the Chief Academic Officer, the Registrar ensures the integrity and accuracy of student academic records, manages the processes that support student progress and success, and provides data-informed insight to guide institutional planning, all while embodying Bethany's commitment to student-centered service and academic quality.

Essential Functions:

Academic Records & Registration Administer and oversee all functions of the Registrar's Office, including student registration, course scheduling, enrollment management, and grade collection

Oversee the secure maintenance of all academic records in compliance with applicable privacy and data security requirements (FERPA, institutional policy, and accrediting agency standards)

Draft and implement policies and processes for recording and tracking student course enrollment, completion, final grades, and fulfillment of matriculation and graduation requirements

Manage transcript requests, transfer credit evaluation, and prior learning credit processes

Certify enrollment and degrees awarded on behalf of the College

Work closely with academic advisors

Graduation & Degree Audit Conduct graduation audits and work collaboratively with Academic Affairs and student advisors to ensure students graduate in a timely fashion

Assist with commencement planning and degree conferral processes

Collaborate with the CAO, division chairs, and faculty to determine and periodically review course requirements for each degree program

Compliance & Policy Serve as the College's primary compliance officer for FERPA and related student privacy regulations

Maintain current knowledge of applicable data security and privacy laws, emerging technology, and best practices in registrar operations

Enforce compliance with Undergraduate Catalog requirements as they pertain to the Registrar's Office

Investigate and resolve student disputes related to records and registration

Responsible for College compliance with external entities such as the National Student Clearinghouse, the Department of Veterans Affairs, the Department of Defense, and the Department of Homeland Security

Leadership & Collaboration Provide leadership, supervision, and professional development for Registrar's Office staff

Serve as a collaborative partner to faculty, division chairs, Financial Aid, Student Affairs, and Admissions

Serve on campus committees as appointed and represent the Registrar's Office in institutional governance

Maintain and enhance the student information system (SIS) and related technology platforms

Qualifications:

Required:

Education Bachelor s degree

Experience Minimum of five (5) years of progressively responsible experience in a college registrar's office or related academic affairs role

Extensive experience with student information systems (e.g., Jenzabar, Banner, Colleague, or similar platforms)

Demonstrated experience with FERPA compliance and federal/state reporting requirements

Knowledge, Skills & Abilities Excellent verbal and written communication skills with the ability to interact effectively with diverse campus constituencies

Strong organizational skills and meticulous attention to detail

Ability to analyze and interpret data and prepare clear, accurate reports

Demonstrated supervisory and leadership skills

Ability to maintain confidentiality and handle sensitive information with discretion

Commitment to the mission and values of a faith-rooted liberal arts institution

Microsoft Office, computer knowledge, and knowledge of office equipment

Highly motivated and works well both independently and in a team environment

Preferred:

five (5) years of experience in Higher Education Administration;

Master s degree attained or in process

Experience in a small, residential liberal arts college environment

Familiarity with ELCA or faith-based institutional culture

Experience with institutional research, accreditation support, or academic innovation initiatives

Knowledge of NAIA athletic eligibility compliance

Bilingual in Spanish is a plus, or some knowledge of the Spanish language is a plus

Working Conditions:

Standard office environment; regular business hours with occasional evening or weekend commitments for academic events, commencement, and registration periods

Primarily sedentary with occasional light lifting
