The Executive Assistant to the Head of School provides confidential, consistent, and professional support to the Head of School, the Board of Directors, the Boards subcommittees, and the Human Resources department. Reporting directly to the Head of School, this 12-month position requires excellent organizational, writing, and editing skills, a positive can-do attitude, and an ability to anticipate the needs of the office.

Head of School Office

Serve as liaison between the Head of School’s office and all school constituents, including staff, parents, students, and outside visitors, at times under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality

Support the Head of School and the Senior Leadership Team with the daily operation of the school, short- and long-term goals, and institutional projects

Perform clerical and administrative tasks for the Head of School’s office, compiling and conducting research and preparing reports and communications for the Head of School

Schedule, maintain, and confirm the Head of School’s appointments and calendar

Assist the Head of School with work and events related to the Board of Trustees, faculty and staff, parents, and donors, among others

In coordination with the Office of Institutional Advancement, manage arrangements for faculty meetings and employee events

Screen and direct phone calls for the Head of School

Monitor and direct special projects as assigned by Head of School

Other duties as assigned by Head of School

Board of Trustees

Serve as liaison to the Board of Trustees

Prepare and communicate schedules for Board of Trustees and Subcommittee meetings

Make meeting arrangements for Board meetings

Maintain rosters, files, and committee minutes for the Board and subcommittees

Update the Board of Trustees handbook annually

Maintain the Board section of the website in consultation with the webmaster

Other projects as requested

Human Resources Support

Assist the Human Resources office with the posting of open positions across job boards, the school website, and other applicable platforms, ensuring accuracy and timely publication of all listings

Coordinate candidate visits and interview schedules

Provide general clerical and administrative support to the Human Resources department, including filing, data entry, maintaining employee records, employment verifications, and responding to routine HR-related phone calls, email, and visitor inquiries

Assist with the coordination of HR-related events, trainings, and meetings, including scheduling and preparing materials

Other HR support duties as assigned

Required Education and Experience

Bachelor’s degree in Business Administration, or related field, or the equivalent education and experience

Prior experience as a personal assistant, executive assistant, or similar role

Commitment to using professional role to further the creation of an equitable and inclusive school community

Excellent verbal and written communication skills

Excellent organizational skills and attention to detail

Excellent time management skills with a proven ability to meet deadlines

Ability to function well in a high-paced, and, at times, stressful environment

Extensive knowledge of office administration, clerical procedures, and recordkeeping systems

Extremely proficient with Microsoft Office Suite, or similar software, with the ability to learn new or updated software

Ability to act with integrity, professionalism, and maintain confidentiality

Previous experience working at an independent school or an educational setting is preferred

Compensation and benefits are competitive, with an anticipated salary range of $75,000 to $85,000.
