Summary

Assist the Head Secretary in the performance of duties designed to maintain office efficiency. Achieve and maintain good rapport with staff and students. Adhere to conduct and appearance standards prescribed by district policy.

SKILLS AND MINIMUM QUALIFICATIONS:

  • Bilingual English/Spanish preferred
  • Candidates must possess a High School Diploma or GED
  • Clerical training and or experience.
  • Clearance for state and national background checks as a result of fingerprinting; successfully pass criminal records check
  • Must have a Washington State driver's license.
  • Personal skills to work with staff, students, and parents.
  • Ability to use a multi-line phone system and maintain proper phone etiquette.
  • Computer skills to do word processing, use databases and spreadsheets, and ability to learn new programs.
  • Skills with a variety of office equipment such as: fax, laminator, 10-key, copy machine, etc.
  • Skills with checkbooks, check registrars, taking in and receipting money, bank deposits, purchase order processes, knowledge of or ability to learn student records system, and knowledge of or ability to learn ASB procedures.
  • Office management skills.
  • Public relations skills.
  • Knowledge of basic first aid.
  • Record of dependability, punctuality, flexibility and strong attendance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Greets students, parents, and callers, ascertains wants and furnishes information and direction using good public relations skills.
  • Types letters, bulletins, forms, newsletters, reports, and other word processing documents.
  • Receives and distributes mail.
  • Handles requisitions and originates purchase orders, mails them, files, handles all related correspondence, and, with principal, authorizes payment of all or part of them.
  • Receipts and deposits all money coming in, both district and ASB, including fundraisers, fines, donations, bookstore, assemblies, lunch sales, ASB cards, etc.
  • Supervises and directs student "office aides."
  • Administers first aid to students in the absence of the nurse.
  • Schedules conferences for teachers during conference week and randomly other times.
  • Treats all matters of school in a professional, confidential manner.
  • Maintains attendance records according to State and District policy.
  • Inputs transportation trip tickets for all field trips.
  • Calls and meets substitute teachers.
  • Performs other duties as may be assigned by supervisor.

  • Occasional: (i.e. driving, lifting over 10 pounds up to 45 pounds, reaching above the shoulder, use of fax machine)

BENEFITS

  • Health Benefits - Positions anticipated to work 630 hours or more in a school calendar year are eligible for medical, dental, and vision benefits. Benefits begin the first day of the month following the date of hire.
  • Retirement System - Anyone eligible to belong to the retirement system must pay into the retirement system.
  • Deferred Compensation and Tax-Sheltered Annuities - These are available to all staff.
  • Annual/Vacation Leave - Some positions may earn at a different rate per policy.
  • Sick Leave - One day per month is earned for full-time employment. Less than full-time earn leave on a pro-rata basis.
  • Holidays - Staff who are eligible for vacation are also eligible for paid holidays
  • Employee Assistant Program - An Employee Assistance Program is available to all staff.

NON 260 EMPLOYEE - NON -WORK DAYS

This position substantially follows the school calendar, which includes the following non-work days:

  • Labor Day (approx two days off)
  • Veterans Day
  • Thanksgiving Holiday (approx three days off)
  • Christmas Holiday, New Year's Day (approx two weeks off)
  • Martin Luther King Day
  • President's Day (approx two days off)
  • Spring Break ( five days off)
  • Memorial Day
  • Juneteenth
  • Summer Break (mid-June - mid-August)
