Role Overview

The Executive Assistant to the Superintendent serves as the primary executive support professional to the Superintendent and provides high-level administrative, organizational, and communications support to ensure the efficient and effective operation of the Superintendent's Office.

This position functions as a key liaison between the Superintendent, Board of Education, district leadership, staff, families, elected officials, community organizations, media representatives, and the public.

This position requires exceptional professionalism, discretion, initiative, adaptability, and independent judgment in managing confidential and complex matters. The Executive Assistant thrives in a fast-paced environment, demonstrates outstanding organizational and communication skills, and possesses the ability to anticipate needs, manage competing priorities, and support district leadership initiatives with professionalism and accuracy.

Minimum Requirements

With associate's degree: Three years of progressive executive-level administration support to senior leadership personnel.

Without associate's degree: Five years of progressive executive-level administration support to senior leadership personnel.

Excellent organization and interpersonal skills, including an ability to deal with diverse issues and diverse audiences, i.e., parents, general public, community advocates, media, staff, education personnel, elected officials.

Strong written and verbal communication skills, including the ability to draft professional correspondence, reports, and presentations

Demonstrated ability to manage highly confidential and sensitive information with professionalism and discretion

Proficiency in Microsoft 365 applications, Google Workspace, virtual meeting platforms, and office technology systems

Experience coordinating schedules, meetings, travel arrangements, and executive calendars

Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment

Demonstrated ability to work independently and exercise sound judgment

Ability to interact effectively with diverse stakeholders including staff, students, families, elected officials, community members, and media representatives

Demonstrated experience in assisting with budget development and monitoring office orders.

Regular attendance is an essential function of this position.

Preferred Qualifications

Associate's or Bachelor's degree from an accredited college or university

Experience working in a public school system, government agency, or executive office environment

Experience supporting a superintendent, executive leader, or governing board

Experience with Board meeting preparation and executive communications

Knowledge of records management, public information requests, and office operations

Experience with website content management systems, social media platforms, and digital communication tools.

Role Responsibilities

Serve as the primary executive assistant to the Superintendent and manage the day-to-day operations of the Superintendent's Office

Maintain the Superintendent's calendar, appointments, travel arrangements, meetings, and special events

Prepare and coordinate agendas, presentations, reports, briefing materials, correspondence, and related documents for executive and Board meetings

Serve as a liaison between the Superintendent's Office and district staff, Board members, families, community organizations, elected officials, and external partners

Coordinate and respond to internal and external communications with professionalism, accuracy, and discretion

Maintain strict confidentiality regarding personnel matters, legal matters, labor relations, and other sensitive district information

Track deadlines, follow-up items, and action steps related to district priorities and Superintendent initiatives

Assist in planning and coordinating meetings, conferences, community events, and special projects

Prepare professional correspondence and communications on behalf of the Superintendent

Maintain organized electronic and physical filing systems and records in accordance with district procedures and retention requirements

Assist with budget monitoring, purchasing processes, and office operational needs

Demonstrate professionalism and exceptional customer service in all interactions

Exercise sound independent judgment in prioritizing issues and managing workflow

Perform additional duties and special projects as assigned by the Superintendent

Required prolonged periods of sitting at a desk and working on a computer and other office equipment.

Ability to maintain emotional control under stress.

Occasional travel throughout the district and state may be required.

Ability to travel district-wide and state-wide if needed.

Ability to work prolonged and irregular hours, including work on non-traditional work days and holidays as necessary.
