Annie Wright Schools is seeking an Upper Schools Administrative Assistant and Registrar to begin on July 1, 2026. This is a full-time, hourly position that reports directly to the Upper Schools Division Director.

Position Description

The Upper Schools Administrative Assistant and Registrar supports the daily operations of the Upper Schools while maintaining accurate and confidential student academic records. This position serves as a key point of coordination and communication for students, families, faculty, and administrators and reports directly to the Director of Upper Schools.

Position Overview: Duties and Responsibilities

The Upper Schools Administrative Assistant and Registrar:

  • Attendance Management
    • Oversees all attendance practices and protocols
    • Records daily attendance and communicates with parents
    • Tracks and communicates Request to be Absent forms
    • Communicates concerns with the Assistant Directors and Counselor
  • MyAW Management
    • Serves as the Schools primary MyAW expert
    • Conducts student, parent, and faculty trainings
    • Conducts yearly rollover
    • Builds daily schedule within the system; updates for modified schedules
    • Creates grade plans in coordination with Director of Upper Schools
    • Updates various USs portals (student and parent)
    • Generates requested reports (grades, absences, missing work, low grades, etc.)
    • Enrolls students in advisories, activities, IB Core group, etc.
  • Student Records and Forms Management
    • Maintains official student files
    • Updates graduation requirement tracker each semester
    • Oversees student records and records requests (for new students)
    • Has oversight of USs student forms (found within MyAW)
    • Manages transcript requests
    • Works to ensure all family contact information is accurate
  • International Student Support
    • Oversees student passport guidelines for school-sponsored travel
    • Issues various letters needed by international families
  • College Counseling Support
    • Works with Admissions and ensures we secure official transcripts for all new Grade 10, 11, or 12 transfer students
    • Uploads transcripts into college support platforms and systems
    • Updates student information (SAT, ACT, GPA, etc.)
  • General Upper School Support
    • Monitors and orders supplies for USs supply closets
    • Works closely with School Nurse regarding student illnesses and medications
    • Conducts monthly credit card reconciliations
    • Communicates with students and families about cell phone usage
    • Works with Assistant Directors of the USB and USG to coordinate mid-year orientations for new students
    • Maintains confidentiality and discretion on all student and professional matters
    • Reports to and provides support to the Director of the Upper Schools as needed, including managing daily administrative tasks to support the management of the Upper Schools.

Salary & benefits

This position offers an hourly wage of $25.45, increasing to $26.40 per hour on September 1, 2026. Benefits available to the hired candidate for the Upper Schools Administrative Assistant and Registrar position include the following, subject to the terms of the applicable benefit plan:

  • Eighteen (18) paid Holidays in 2026
  • Fifty percent (50%) of tuition remission is in accordance with school policy. All fees and incidental expenses are the sole responsibility of the employee-parent
  • All children of benefited employees of AWS, who are currently enrolled at AWS, are eligible for extended day services at no charge when school is in session.
  • A 403(b) retirement plan with a 6% company match, with a 3% employee contribution

Physical Requirements

  • Must be able to sit and stand for extended periods;

  • Must be able to lift up to 15 pounds at times.
