School Office Assistant Adult Education School Year Position

Position: Monday-Thursday

8:30am-4pm

28 hours per week

Location: Skowhegan Area High School

Qualifications:

  1. Minimum associate degree
  2. Documented experience in Microsoft Office Programs
  3. Demonstrated ability to work with others in a team setting
  4. Documented superior organizational skills
  5. Demonstrated ability to work with a diverse population
  6. Documented ability of constructive communication strategies
  7. Documented knowledge of:
  1. Basic First Aid
  2. Telephone Etiquette
  3. Accounting Skills
  4. General Office Practices

8.Demonstrated ability to learn applicable District Software

Reports to: Building Administrator

Support Services Manager

Job Goal: To carry out delegated functions in order to maintain an efficient and effective school.

Performance Responsibilities:

  1. Budget
  1. Assists with preparation of building budget

2. Financial

  1. Manages accounts payable
  2. Handles all vouchers from student activities, athletics, and general funds. Issues checks for approved vouchers.
  3. Maintains up-to-date records of all school accounts.
  4. Reconciles monthly bank statements.
  5. Prepares all reports for audit.

3. Secretarial

  1. Responsible for the typing of Administrators correspondence.
  2. Maintains office filing system.
  3. Responsible for all related correspondence and general paperwork that is associated with the Administrators committee work.
  4. Responsible for answering the telephone, assisting with telephone messages, interviews, and routine office procedures.
  5. Assists in maintaining the Administrators daily calendar.
  6. Responsible for updating SIS
  7. Welcomes visitors and arranges for their comfort.
  8. Responsible for coordinating information for the opening of school: teacher handbook, student handbook, duty schedules, homeroom lists, opening of school agendas, etc.

4. Student Insurance

  1. Maintain file of copies of all accident reports.
  2. Responsible for issuing insurance forms to all students who have an accident report which requires medical attention.

5. General Responsibilities

  1. Follows proper safety procedures when operating equipment and complies with standard safety and OSHA regulations.
  2. Maintains a regular schedule to ensure that daily responsibilities are performed; has regular attendance and is punctual for assignments.
  3. Maintains the poise of a disciplined person. Is tactful in dealing with others resourceful and self-reliant; demonstrates respect for self and others; willingly accepts suggestions and follows instructions; follows the proper channels of command and exercises confidentiality of privileged information relating to school and personal matters.
  4. Sets a good personal example in the areas of: personal hygiene, neatness and propriety of dress, courtesy, consideration, cooperation and proper use of language (vulgar or sexually suggestive language will not be permitted at any time).

Terms of Employment: See Union Contract

Evaluation: Performance of this position will be evaluated at least annually.

Proof of CHRC/Fingerprinting through Maine Department of Education will be required.
