ABOUT THE JOB: Individuals in this classification work in a designated High School for 8 hours per day, 12 months per year. Under general direction of a school administrator, organizes, coordinates, schedules, and performs varied clerical and secretarial functions in a high school office utilizing independent judgment and discretion; provides public relations and communication services concerning school activities, policies, regulations, and procedures; and performs related work as assigned. JOB DUTIES : Serves as secretary to the principal, preparing the principal's correspondence, scheduling appointments, maintaining files, and obtaining and providing information on behalf of the principal; issues, collects, and maintains records of all school keys; provides information about school programs, rules, and regulations to students, teachers, and parents; acts to resolve a wide variety of social, medical, safety and other problems that may arise at the school; plans, organizes, trains, supervises, and coordinates the work of clerical employees and assigns them to meet particular workloads and schedules; supervises, trains, and evaluates student assistants; maintains staff time reports; compiles time report data and submits to payroll; composes correspondence independently or from verbal instructions; oversees the registration of new and returning students; creates and updates registration forms and documents; compiles, monitors, and maintains records of substantial operating and grant funds and other special budgets, ensuring spending deadlines are met; receives and dispenses monies to and from special-purpose school bank accounts; reconciles a variety of accounts on a regular basis throughout the year; monitors various budgets and prepares purchase and stores requests; utilizes a variety of computer software programs to access a wide variety of confidential information pertaining to personnel, student, academic, financial, and other sensitive administrative matters and perform critical functions such as creating and editing documents, maintaining spreadsheets and databases, and extracting data; maintains administrative and confidential files; schedules meetings and arranges teacher evaluation conferences; prepares agendas and minutes, as required; assists and coordinates arrangements for special events and meetings, as well as emergency situations involving police and fire departments; assists staff with compiling WASC reports and acts as a liaison for WASC visiting committees; assists teachers and coaches with creating field trip and/or conference documentation; ensures adequate classroom coverage by coordinating substitutes and providing them with all necessary information; ensures adequate stock of supplies for classroom and office use; coordinates, organizes, and oversees large bulk mailings, and daily mail processing and distribution; and operates various office equipment such as computers, fax machines, and copiers; and submits equipment repair and work order requests.
