    Job Title: Executive Assistant to the Superintendent
    Supervisor: District Superintendent
    Terms of Employment: 246 Days

    Job Summary:

    The Executive Assistant to the Superintendent provides high-level administrative support to the Superintendent, ensuring the efficient operation of the Superintendent's office. This role involves handling confidential information, managing communications, coordinating schedules, and serving as a liaison between the Superintendent and internal/external stakeholders.

    Essential Duties & Responsibilities:

    • Manage and prioritize the Superintendent's schedule, including appointments, meetings, and travel arrangements.
    • Serve as the primary point of contact for communications with the Superintendent's office, including handling correspondence, emails, and phone calls.
    • Prepare handbooks, presentations, meeting agendas, and other documentation for the Superintendent.
    • Maintain an organized filing system for records and confidential documents.
    • Assist in coordinating and preparing materials for Board of Education meetings, including drafting meeting minutes.
    • Support the Superintendent in executing directives efficiently by coordinating with district leadership and staff.
    • Organize and facilitate meetings, conferences, and special events on behalf of the Superintendent's office.
    • Act as a liaison between the Superintendent, Board of Education, district staff, and community stakeholders.
    • Handle sensitive matters with professionalism, discretion, and confidentiality.
    • Supervise and coordinate the work of clerical office personnel as assigned.
    • Perform other duties as assigned by the Superintendent.

    Qualifications & Skills:

    • Education & Experience: At least two years of post-secondary training or an equivalent combination of education and experience in executive administration, office management, or a related field.
    • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
    • Communication: Strong verbal and written communication skills with the ability to interact effectively with diverse stakeholders.
    • Organization & Time Management: Ability to manage multiple priorities, meet deadlines, and work under pressure in a fast-paced environment.
    • Confidentiality & Professionalism: Must exercise discretion and maintain strict confidentiality in handling sensitive matters.
    • Problem-Solving & Initiative: Ability to anticipate needs, take initiative, and work proactively with minimal supervision.

    Work Environment & Physical Requirements:

    • Must be able to sit, stand, walk, and perform general office tasks for extended periods.
    • Ability to lift or move up to 40 pounds.
    • Frequent use of a computer, telephone, and standard office equipment.
    • Must be able to work flexible hours, including occasional evenings for meetings.

    Compensation:

    Pay Grade: 115 (as per district salary schedule)
